To conduct examinations- in semester and end semester examinations both for under graduate and post-graduate programmes and to maintain necessary documents & records.
To organize evaluation of answer scripts, declare results, assist in awarding degrees and to redress grievances regarding examinations and evaluation and also to maintain necessary records & documents in this regard.
To attend and assist in convening meetings of the Governing Council, Academic Council and such other committees as may be specified for discharging the
To perform any other functions as per the statutes, rules and the directions of the principal.
Internal examinations are conducted as per the statutes of autonomy and the regulations of the college for awarding internal assessment marks.
Schemes for internal examinations
UG PROGRAMMES:
The process includes 4 components.
Internal Assessment examinations (Continuous Assessment):
There will be two such common examinations for all classes in each semester. For the odd semester these examinations will be in August & September and for even semesters in January & February/March.
The tasks include preparing the examination time table, appointment of examination superintendent, organizing room invigilation, getting question papers prepared, deciding the duration of examination, arranging for answer paper booklets, stipulating the time for submission of marks, recording entries, distribution of progress card, entering in the electronic form including internet.
Seminar, Quiz, Assignments, Projects, etc.:
Collecting the data from the respective Deans/HODs, inspection of records, record entries.
Co-curricular & Extra-curricular activities: marks to be collected from the respective Deans/HODs, inspection of records, making entries, notices & reminders.
Attendance: Marks for attendance as per regulations to be collected from the respective departments through the Deans/HODs.
PG PROGRAMMES:
The Registrar has to ensure the Process which includes 3 components:
Internal Assessment Examinations:
There will be two such common examinations for all programmes in each semester. Such examinations are held in September/October in odd semesters and February/March in even semesters. The tasks are same as in UG exams.
Seminar, Quiz, Assignments, Projects, etc.: Marks to be collected from HODs, inspection of records, entries to be made in registers and electronic format.
Attendance: as per the regulation.
At the end of each semester there will be central examinations conducted for all Degree programmes.
UG Examinations: The functions include:
Board of Appointment of Examiners: BOAE is set up as per the regulations of the College for each course / subject / faculty. Registrar will be the Chairman of BOAE.
Examination Application Forms: to be collected from each candidate. Examination fees, printing of application forms, processing and preparing the list of eligible candidates based on the certification by the principal.
Question paper setting: Questions papers are set in each subject in sets of 2/3. The tasks include preparing the list of examiners, contacting, getting question papers with a detailed scheme of evaluation, disbursing remuneration, proof reading & printing, printing of answer booklets, coding if necessary, preserving and selecting a particular set at random.
Time table: Draft & final time table for each semester at least 25 days before the examinations.
Practical Examinations: Practical examinations are to be conducted for all papers with practicals in each semester. The tasks consist of preparing the list of practical examiners, time table, attendance certificates and remuneration for external examiners, making entries in appropriate registers. Practical examinations are to be conducted before the commencement of end semester examinations, project report evaluations and viva voce examination on the project reports.
Office Superintendent: A Chief office superintendent is appointed for each end semester examination. Room invigilation and other processes of conducting the examinations are the responsibilities of chief office superintendent.
Central Valuation: The valuation process begins within a week of end of semester examinations. Qualified internal examiners will value the answer scripts. The tasks include preparing the list of examiners, time table for central valuation, appointing the chief examiner, disbursing remuneration in the form of TA, DA, local allowance, remuneration per paper and other permissible allowances.
Tabulation: Tabulation registers are to be maintained manually and also in the form of computer documents. Tabulators to be appointed. Result sheets are to be prepared with all the details as per the regulation. Software is to be built up for recording marks of all groups, declaration of class, grade and grade point average.
Declaration of results: Result sheets are to be published on notice boards and internet within a definite time frame and the same should also be released to the press.
Revaluation, Re totaling, personal viewing, rejection of results, grievances, etc: Prescribing the time limit, collection of fees, following up & other related duties as per the regulations and rules.
Post Graduate Examinations: The procedure is the same as in UG examinations except the fact that there is double valuation for the end semester examinations. The answer scripts are to be coded and marks are recorded in separate mark sheets.
Central valuation by the internal examiners is done first. List of external valuers is to be prepared. Papers may have to be sent / taken personally to these valuers. Compulsory viva voce examinations and project report evaluations are done.
Software is to be built for PG examinations also. Chief office Superintendent for examinations and a Chief for central valuations may have to be appointed separately for PG examinations. Examination fees, paper setting remuneration, practical examination remuneration, TA, DA, valuation remuneration & local allowances are to be determined independently of UG examinations.
Registrar is generally empowered to do all such acts as may be necessary for effectively managing a credible and transparent evaluation system.
